Onboarding
The onboarding process below attempts to explain the seamless process we expect our clients to go through. To achieve this automated process there will need to be extensive use of make.com/zapier and GPTs. If you have any questions please do not hesistate to contact us as it is crucial we get this part right. Please see the automation workflow below:
Step 1 (meeting 1 booked):
Booking on website calender with sign up form (name, email, industry, company, company size) or cold email calender booking
Book call across all calenders and in google meet
Add details to CRM as new lead (all email correspondence history + google meet and booking details)
Immediately after booking generate the creation of a HeyGen script from the HeyGenGPT with our prompt 'Intro Video 1' and generate HeyGen video.
Send HeyGen video to client, generating an email from EmailGPT prompted with our 'Intro Email 1' with Introductory pack attached. Save all to CRM.
24 hours prior to first call our second introductory pack is sent to client with personalized email made with EmailGPT and prompted with 'Intro Email 2'.
Step 2 (meeting 1):
AI transcript of call recorded and sent to SummaryGPT with 'general summary prompt', saved to CRM.
if client status is moved to closed save their email in warm email list (in sheets) with name, company etc. and send email using 'Closing Email' prompt with Email GPT - then end workflow here.
If client agrees to continue we will tick a box on the customer overview which will then trigger the generation of a HeyGen script with our 'Call 2 Booked HeyGen' prompt - generate HeyGen video and send to lead in email generated from EmailGPT with 'Call 2 Booked Email' prompt.
Step 3 (meeting 2):
24 hours after call 2 is booked using slide deck generator and GitBook generator - generate a client proposal slide deck and save within the clients file on our google drive.
48 hours prior to meeting generate email from EmailGPT with 'Meeting Two 48 hour' prompt and Industry specific slides attached. Send to client.
48 hours prior to meeting automatically fill in the necessary details for the letter of engagement (LOA) (within docusign) and draft in an email (EmailGPT) with 'new client' prompt with stripe payment link. Save in email drafts.
AI transcript of call recorded and sent to SummaryGPT with 'general summary prompt', saved to CRM.
If client status is moved to closed save their email in warm email list (in sheets) with name, company etc. and send email using 'Closing Email' prompt with Email GPT
If client signs and stripe payment is received - update status to client within CRM and generate HeyGen video with 'Welcome HeyGen' prompt and send from EmailGPT with 'Welcome Client' prompt.
Below is a list of the prompts required for the above automations. Rather than leave the prompt design to just you, or, just us - we want this to be a mutual effort to ensure we are getting the desired outputs and therefore anticipate engineering these prompts whilst on a call with you.
